Getting started
What is Flatra?
Flatra is the operating system for apartment associations — maintenance billing
(fixed or bill-split), water metering, expense tracking with receipts,
announcements, complaints, events, polls and collections — built for Indian
societies of 10–100 flats.
How do I get Flatra for my society?
Install the app → log in with your mobile (OTP) → tap
“Get Flatra for your society” → fill in your apartment details.
We set it up — usually within a day — and you become the admin.
Free to start, no payment needed.
Can I try it before onboarding?
Yes — after logging in, tap “Explore the demo”: a complete sample
society where you can enter readings, add bills, generate maintenance and
switch between the secretary and resident views. Nothing is saved.
Login & security
How does login work?
First login: an OTP on your registered mobile, then you set a 6-digit
PIN. From then on it’s just mobile + PIN — no SMS needed.
I forgot my PIN
On the login screen tap “Forgot PIN?” — you re-verify with an OTP and
set a new PIN.
OTP didn’t arrive
Wait for the Resend timer (60 seconds) and tap Resend once. Repeated
rapid attempts trigger a 5-minute lock from the SMS provider.
Flats & residents
How do I add flats?
Flats → Add flat — flat number, block, owner name
& mobile, area (optional) and water meters. The owner can log in with
that mobile immediately.
Owners vs tenants
Admins add owners. An owner can add their tenant from the
resident app — the tenant then gets their own login on their number.
How do I get residents onto the app?
Add their mobile to their flat — that’s it, they log in with it. Track who
joined via the phone icons on Flats and the
App usage screen, and send ready-made WhatsApp invites from there.
Deleting a flat
Swipe right on the flat → Delete. A confirmation shows exactly what’s
affected (outstanding dues, logins, history) before anything happens.
Maintenance billing
How do I set a FIXED monthly maintenance?
Settings → Maintenance & billing → switch
“Divide bills” to “Fixed amount” → enter the default per-flat price.
Different amounts for specific flats: set them from the Flats screen.
The change applies from the next generation — regenerate the current
month if you want it now.
How does “Divide bills” mode work?
Record the month’s bills; on Generate, common bills split equally (or by
sq ft) across flats and water bills split by each flat’s meter usage —
totals always reconcile to the actual bills.
Generating the month
Maintenance → Generate — per-flat invoices appear
with an itemised breakdown each resident can see. Regenerating overwrites
the month but preserves payments already recorded.
Recording payments (incl. partial)
Tap a flat’s invoice → Mark paid — full or partial, cash/UPI/other.
Filter the month by Paid / Partial / Unpaid.
I changed settings after generating — why “out of date”?
Generated months are snapshots. Changing billing settings flags the month
“out of date”; tap Regenerate to apply (or leave it — new settings
apply from next month).
Rounding amounts to neat figures
Settings → Maintenance & billing → Rounding —
round each flat’s total UP to ₹10/₹50/₹100 for easier collection.
Water
Entering water readings
Water readings → tap a meter — the previous
reading auto-fills, enter the current one. Readings lock once the month’s
maintenance is generated.
A meter is not working
In the entry sheet tap “Use average” — Flatra bills the average of
that meter’s last recorded months (up to 6). No history yet? Use
“Enter estimate” instead.
Charging water by slabs
With water pricing enabled for your society:
Settings → Maintenance & billing → Water pricing —
Fixed slabs (your own ₹-per-litre bands, water-board style) or
Auto slabs (the system finds the basic usage from your lightest 25%
of flats; heavy users pay ×2/×3 weight while the total still matches your
actual bills). Ask us to enable it for your society.
Bills & expenses
Adding a bill
Bills → Add bill — name, amount, optional date and
notes. Tick “Water-related expense” for Manjeera/tanker bills so they
enter the water cost pool.
Attaching receipts (up to 5, camera or gallery)
In the bill form add up to 5 photos — take them with the camera or
pick from the gallery. Tap a bill’s thumbnail later to swipe through all of
them. Residents can view them too (transparency).
Recurring bills (watchman salary etc.)
Tick “Repeat every month” when adding, or manage templates in
Bills → Recurring. They auto-appear each month;
browsing future months shows faded previews you can “Mark paid” early.
Splitting a bill across only some flats
On a common bill tap the settings icon → choose the flats that share it.
Others can optionally see it listed at ₹0 for transparency.
Money, funds & reports
Recording handover / association funds
Settings → Association funds → Add funds entry —
each amount with a name (“Cash from previous secretary Ramesh”), Balance or
Corpus, and an optional reference document (image / PDF / Excel).
Where do I see money in hand?
The “In hand” card on the dashboard → the full statement: opening
funds itemised, then month-by-month in/out with a running balance.
Reports
Reports — collections, expenses, payment methods,
outstanding flats and the association balance, month by month.
Collections & reminders
Who is overdue?
A red dashboard card appears when flats are pending for over a month —
open it for the list with call/WhatsApp buttons per flat, aging filters,
and a share button that composes the full pending list for your
society WhatsApp group (you choose what to include).
Automatic payment reminders
Settings → Notifications → Remind unpaid
flats every 2 / 5 / 10 days — each unpaid flat’s owner gets an app
notification with their exact pending amount until they pay.
Month-end pending list
On the last day of the month, admins get a nudge to share the long-pending
list in their WhatsApp group — one tap opens it pre-composed.
Communication
Announcements
Post to all residents or owners only; residents react and comment. Use the
mic to dictate and the ✨ button to tidy the text.
Complaints
Residents raise issues with photos; everyone sees them; admins move them
through Open → In progress → Done (and more) with notes and comment
threads. Push notifications keep both sides updated.
Events, polls & help desk
Events track festival expenses and donations (cash or in-kind).
Polls give one vote per flat, changeable until expiry.
Help Desk is your society’s contact book — plumber, electrician,
security — with tap-to-call and WhatsApp.
Alerts & delegation
Maintenance alerts (lift AMC, tank cleaning…)
Alerts — quick-picks like lift maintenance and
water-tank cleaning, once or recurring (monthly/quarterly/yearly), with
remind-me-before and an optional resident notification.
Sharing work with committee members
Settings → Delegated access — give a trusted
resident (or even an outside helper) specific features only: water
readings, bills, announcements and more. They log in with their own number
and see just those features.
For residents
What do residents get?
Their maintenance bill with the full breakdown, one-tap UPI payment
(PhonePe / GPay / any UPI app) where enabled, the society’s expense
register with receipts, announcements, events, polls, complaints and the
help-desk directory — all after a one-time OTP + PIN login.
How does a resident pay?
From the bill card: scan the association’s UPI QR or use the one-tap
PhonePe/GPay buttons. Offline payments (cash) are recorded by the
secretary and reflect immediately.
Pricing
What does Flatra cost?
₹10 per flat per month with generous free months to start — no setup fee,
no hardware. The society sees the platform fee transparently on its bills.
