Flats, Owners and Tenants in Flatra — Setting Up Your Flat List

Your flat list is the base for everything. Owners and tenants sign in with the mobile number you save here.

The society wizard created your blocks and flats. Everything else — bills, payments, who sees what — hangs off that list. A person's mobile number on a flat is their login: no passwords, no usernames.

Adding people to a flat

  1. Open Flats and tap the flat.
  2. Enter the owner's name and mobile number. This is who receives the bill.
  3. Rented out? Add the tenant with their number. The tenant sees and can pay the bill; the owner keeps control and can change the tenant later.
  4. Need a different maintenance amount for this flat (penthouse, shop)? Set the per-flat amount; it overrides the society default.
  5. Save. If the person has never used Flatra, they sign in with that number and land on this flat.

Letting residents fill it themselves

Typing 40 numbers is the step most secretaries put off. You don't have to: share the join link or QR poster and approve requests. Each approval saves the person to the flat for you.

Family access

Owners and tenants can add family members from their own app — a spouse or adult child who handles payments. Family members get their own login and see the same bills. They are never listed in the society directory.

Square-foot billing

If your society splits common expenses by area, enter each flat's super built-up area and turn on square-foot billing in Settings → Maintenance. Bills then use the area automatically.

Removing a flat

Deleting a flat shows what would be lost (outstanding dues, months of history) before it happens. Prefer marking it vacant if the flat still exists.

Frequently asked questions

A flat changed owners — what do I do?

Edit the flat and replace the owner's name and number. Past bills and payments stay with the flat; the new owner sees the history from the handover.

Can one person own two flats?

Yes — add the same number to both. They switch between flats inside the app.

Why does a resident see 'not found' when signing in?

Their number isn't on any flat yet, or is saved with a typo. Check the flat, or let them send a join request.

Can I import flats from Excel?

Not yet. The wizard generates flats by block and floor pattern, which covers most buildings in a minute; owners can then join themselves.
